This Policy explains, in clear terms, the conditions for using kyotoenergy.gr and how we process personal data, particularly through our contact forms.
1. Data controller

2. Data we collect
- Contact and enquiry details: name, email, telephone number, customer type, service of interest and message.
- Files you choose to attach, such as a recent electricity bill, solely to assess your enquiry.
- Technical data, such as IP address, device information, logs and cookies.
- Consent metadata, such as the date, form and your choice regarding marketing communications.
Please do not submit information that is unnecessary for your enquiry, particularly identity documents, banking information or health data.
3. Purposes and legal bases
- Handling your enquiry and preparing an offer: to contact you, assess your needs and take steps at your request before entering into a contract (Article 6(1)(b) GDPR). For business communications, our legitimate interest in responding to professional enquiries may also apply (Article 6(1)(f)).
- Contract performance and legal obligations: if you become a customer, to provide services, invoice and comply with legal requirements (Article 6(1)(b) and (c)).
- Website security: to prevent misuse, fraud and technical incidents, based on our legitimate interests (Article 6(1)(f)).
- News and offers by email: only when you provide separate, optional consent (Article 6(1)(a) GDPR and applicable electronic communications law).
4. The two choices in our contact form
Privacy acknowledgement for handling your enquiry: the required field confirms that you have read this Policy. Your data is used to respond to your enquiry and is not automatically used for advertising.
Optional marketing consent: the second field is separate, optional and not pre-selected. If you do not select it, we will still handle your enquiry normally, but we will not include you in Kyoto Energy marketing communications. If you select it, we record your choice, the date and the source form.
You can withdraw your consent at any time using the unsubscribe link in each email or by contacting info@kyotoenergy.gr. Withdrawal does not affect processing carried out before it.
5. Recipients and service providers
Access is limited to authorised personnel and partners where necessary. We use hosting, technical support, email and CRM providers, including Brevo, acting as processors under contractual obligations. Data may be disclosed to competent authorities where required by law. We do not sell personal data.
If a provider processes data outside the European Economic Area, appropriate GDPR safeguards apply, such as an adequacy decision or approved standard contractual clauses.
6. Retention
- Enquiries that do not lead to a business relationship: up to 24 months after the last meaningful communication, unless a longer period is required for a legal claim or obligation.
- Customer and contractual data: for the duration of the relationship and the periods required by tax and other applicable laws.
- Marketing data: until you withdraw consent or, where there is no activity, until periodic review and deletion. We may retain a minimal suppression record to ensure that your opt-out continues to be respected.
- Cookies and technical logs: according to cookie settings and security requirements.
7. Your rights
Depending on the circumstances, you may request access, rectification, erasure, restriction, portability or object to processing, particularly direct marketing.
